Job Description

To provide confidential secretarial and administrative support to the Commissioning Manager and Integrated LD Services Manager, undertake duties associated with monitoring, quality and evaluation of Commissioning Team and Integrated LD service provision.

Responsibilities

Provide confidential secretarial and administrative support to Commissioning Manager and Integrated LD Manager. Organise, attend and minute various meetings as and when required. Develop and maintain effective systems designed to meet the needs of the service. Prepare and distribute reports and other documentation. Administer financial processes and support budgetary monitoring functions within the Service. Participate in the Council’s employee review and development programme.

The Individual

Significant experience in secretarial, administrative and minute taking work including figure work, data entry, word processing, composing letters, record keeping and filing. Experience of working in a busy office environment using relevant technology and equipment e.g. photocopier, email, Intra/Internet Experience of using a range of computer packages including Microsoft Outlook, Work, Excel etc. 4 SQA National 5 grades or equivalent at level 3 or above including English and Maths/ Arithmetic* Recognised qualification for word processing, e.g. ECDL or equivalent* Recognised qualification for spreadsheets, e.g. ECDL or equivalent Excellent keyboard skills Effective communication skills – both oral and written. High level of accuracy in work Ability to prioritise own workload Self-confident and self-motivated Able to take initiative. Flexible approach to new working practices and technology. Ability to maintain monitoring systems Capable of developing efficient office systems. Ability to listen and accurately minute details of meetings Appreciation and acceptance of, and commitment to the importance of confidentiality Significant experience of operating software applications including Word, Excel and PowerPoint Ability to demonstrate good literacy and numeracy skills Ability to identify and suggest improvements Flexible and adaptable Demonstrate competence in personal organisational and time management skills Ability to work as part of a team.
