The Post Details

Administrative resource in the Directorate of Research, Innovation and Business Engagement are located and line managed within the respective functional areas, due to the specialist nature of the work involved in each of those areas. There is a clear need, however, that there is resilience and consistent practice in the operation of University processes and service delivery across the administrative cohort.

Reporting to the Executive Director, the Administration Manager will have the responsibility for co-ordinating the work of administrative staff across the Directorate, working closely with the Senior Leadership Team and functional area managers to ensure maintenance of service in the event of planned and unplanned absences or vacancies, and flexibility to support peaks in workload. They will develop and oversee a consistent approach to administrative processes and have overall responsibility for financial, human resource, health & safety, and other service administration. They will line manage the Directorate's Administrative Assistant.

Description of Duties

  • To support the Executive Director and other members of the Senior Leadership Team by co-ordinating the work of administrative staff across the Directorate
  • To develop and oversee a consistent approach to administrative processes across the Directorate, ensuring full compliance with all relevant University policies and procedures
  • To maintain comprehensive documentation of all administrative processes and policies within the Directorate
  • To ensure maintenance of service in the event of planned and unplanned absences or vacancies, and flexibility to support peaks in workload
  • To take overall responsibility for financial, human resource, health & safety, and other service administration
  • To provide clerical support for meetings of the Senior Leadership Team, full Directorate Team Meetings, and such other meetings related to the effective administration and management of the Directorate as may be required, compiling agenda papers and preparing action notes and minutes
  • To convene and chair meetings of all administrative staff in the Directorate
  • To contribute to the ongoing development and improvement of administrative policies and procedures within the Directorate, with a focus on excellent customer service and service effectiveness
  • To contribute to the development and maintenance of web-based and other information relating to the Directorate and its operations
  • To work in close partnership with members of the Directorate’s Senior Leadership Team and functional area managers, and with relevant members of other Professional Services and Academic Faculties
  • To undertake appropriate personal and professional development activities in order to deliver best practice
  • To undertake any other duties as may be required, in line with the grade and nature of the role, as directed by the Executive Director

Essential Criteria

Essential Criteria

  • Educated to HND level or equivalent (where no formal qualifications are held, additional relevant experience is required
  • Extensive experience working in a busy team/office
  • Experience of providing advice and guidance in response to customer enquiries
  • Experience of managing and improving effective clerical and administrative processes
  • Advanced knowledge, understanding and competence using a variety of IT systems (including Microsoft Office 365)
  • Ability to work independently as well as part o

  • Experience of working in a higher education or similar environment
  • Professional training, ideally with a relevant formal qualification
