The Post

Administrative resource in the Directorate of Research, Innovation and Business Engagement are located and line managed within the respective functional areas, due to the specialist nature of the work involved in each of those areas. There is a clear need, however, that there is resilience and consistent practice in the operation of University processes and service delivery across the administrative cohort. Reporting to the Administration Manager, the Administrative Assistant will support them in co-ordinating the work of administrative staff across the Directorate, ensuring that this resilience and consistent practice in achieved. The role holder will provide highly effective PA services to members of the Directorate’s Senior Leadership Team.

Description of Duties

  • To support the Administration Manager in the effective operation of all financial, human resource, health & safety, and other service administration across the Directorate
  • To provide highly effective PA support to members of the Directorate’s Senior Leadership Team, including diary management, travel arrangements, expenses administration, and file maintenance
  • To contribute to the ongoing development and improvement of administrative processes
  • To maintain and update administrative materials and resources relating to the work of the Directorate, including web-based information
  • To respond effectively to enquiries from users of the Directorate’s services, with a focus on excellence in customer service
  • To undertake appropriate personal and professional development activities in order to deliver best practice
  • To undertake any other duties as may be required, in line with the grade and nature of the role, as directed by Administration Manager

Essential Criteria

  • Educated to HNC level or equivalent (where no formal qualifications are held, additional relevant experience is required)
  • At least 2 years’ experience working in a busy team/office
  • Experience of providing advice and guidance in response to customer enquiries
  • Experience of providing effective clerical and administrative support
  • Advanced knowledge, understanding and competence using a variety of IT systems (including Microsoft Office 365)
  • Ability to work independently as well as part of a team
  • Excellent verbal and written communication skills
  • Ability to prioritise multiple tasks and meet deadlines with a ‘can do’ approach and a focus on excellence in customer service
  • Flexibility, reliability and punctuality

  • Experience of working in a higher education or similar environment
