Perth & Kinross Health and Social Care Partnership aims to work with the residents of the Perth & Kinross area to provide independent living across all communities.

A vacancy has arisen for a Senior Clerical Assistant in the SCOPE Team, 36 hrs per week.

SCOPE is a multi-disciplinary team providing support to people with autism and/or a learning disability who have complex needs.   This is an exciting opportunity to be part of a new, innovative team that became operational in May 2022.  

The principal role of the SCOPE team is to provide life-long support for complex cases of individuals who reside across Perth and Kinross from the age 14 and upwards.  SCOPE will link with local partners such as Education and Children’s services, Contracts, Housing, all Health Services and 3rd Sector providers.

The successful applicant will assist the SCOPE team in maintaining vulnerable people in the community by providing a range of administrative tasks, which will ensure the day to day running of the teams’ operations.  The role will involve taking referrals and contacts, recording minutes, liaising with individuals, family members and other professionals, supporting in the compilation of strategic planning and reviewing reports, the collation and monitoring of statistical and analytical data that is outcome focused based and complies with the National and Localised Health and Social Care objectives.  We would value an individual who is confident in using IT and digital formats to support communication and who is proficient in using Microsoft applications.    

Requirements

There is an expectation that short listed candidates will meet all the requirements stated in the job profile.  

Knowledge & Experience 
•    You must have relevant experience working in an office environment
•    Knowledge of clerical/admin procedures
•    You must be numerate and would be beneficial if you have a knowledge of Budgets
•    You must have experience working with Microsoft packages and accurate keyboard skills, it would be beneficial if you have experience of Swift/AIS
•    Experience in minute taking 
•    Ability to work on own initiative with minimum level of supervision
•    Ability to manage own workload and prioritise
•    Ability to work under pressure and meet deadlines 
•    It would be advantageous if you have experience working in a Local Authority setting and Adult Social Care
•    Sensitivity/empathy to the needs of others

Responsibilities

Operate departmental systems, including databases and spreadsheet applications for the accurate input, collation and retrieval of information. Assisting and carry out searches as required on computerised service user information system, collating standard reports as required

•    Receive telephone enquiries and take appropriate action as required
•    Gather Assessment information from Health professionals and input to client database
•    Check any invoices with regards to stationery orders etc. and pass to finance
•    Assist in maintaining the filing system to ensure efficient and effective retrieval of documents and materials
•    General typing of letters, forms and photocopying as required
•    Assist in the receiving of mail and preparation of outgoing mail
•    Maintain a professional approach responding to all queries from the public, Council employees and outside Agencies in an efficient and courteous manner, using initiative to resolve problems; personally, and by the telephone both internally and externally

•    Ensure the appropriate degree of confidentiality in all work undertaken
•    To provide support to the Administrative Support Team which covers the Access Team, Mental Health Team, Transitions Team and Hospital Discharge Team as and when required and be prepared to travel to provide such cover
•    Participate in a range of team meetings and undertake minute taking and liaise with all levels of staff, agencies and service users
•    Carry out other tasks within the general scope of the post as may be allocated by the Senior Admin Assistant
•    Actively pursue own personal development and take full advantage of the training provided
